Virtual Works LLC ("VirtualWorks," "we," "us," or "our") operates virtualworks.ai. This policy explains how we collect, use, store, and share information when you browse this website, use its AI assistant, or contact us.
Before you start a chat
The website chat is an AI assistant, not a live conversation with a member of our team. We record and store chat messages and replies. Alibaba Cloud Qwen, accessed through our Singapore API endpoint, processes your messages and conversation context to generate replies. Our team may review the conversation, and follow-up alerts may include message excerpts and contact details sent through Telegram.
Before starting a new chat, you are asked to agree to the recording, storage, AI processing, and sharing described in the chat notice and this policy. You can decline or close the chat and continue browsing. To contact us without using AI chat, email david@virtualworks.ai.
Please do not enter payment details, passwords, medical information, or other sensitive personal information into the chat. Closing the chat stops your participation but does not delete a saved conversation.
Information we collect
Depending on how you interact with us, we collect:
- Chat messages, AI replies, and conversation timestamps
- Name, email address, phone number, business name, and other contact details you choose to provide
- Questions, service requests, appointment details, and follow-up preferences
- Chat session identifiers, the page you are visiting, browser information, and handoff status
- Consent records, including the time you agreed and the version of the chat notice
- Website usage, device, referral, and network information used for site operation, security, analytics, and advertising measurement
How we use your information
We use the information we collect for the following purposes:
- To generate AI replies and respond to inquiries
- To review conversations and arrange requested human follow-up
- To manage service requests and appointment inquiries
- To maintain business records, troubleshoot the service, and review its quality
- To operate and secure the website and understand site usage and advertising performance
- To comply with legal obligations and preserve records when required
AI processing and information sharing
On October 15, 2026, the website chat changed from Anthropic to Alibaba Cloud Qwen. The updated notice applies to new processing. Existing conversations and consent records are preserved under the notices that applied when they were collected.
- Alibaba Cloud Qwen: Chat messages, relevant conversation history, and page context are sent to Alibaba Cloud Qwen through our Singapore API endpoint to generate the assistant's replies. Personal information included in your message text is part of that request.
- VirtualWorks team: Authorized team members may review stored conversations and contact details to respond to requests and support the service. Human follow-up is separate from the AI reply.
- Telegram: When a conversation is referred for follow-up and notifications are available, an alert may include your contact details, the page, the reason for follow-up, a session reference, and an excerpt of your latest message. These alerts are sent to our team through Telegram.
- Other service providers: Hosting, database, email, payment, analytics, and advertising providers process information needed for their respective services. If you purchase a service, payment details are handled through the payment provider rather than the chat.
- Legal requirements: We may disclose information when required by law or legal process.
Cookies, analytics, and advertising tools
This site uses Google Tag Manager, Google analytics and advertising tools, Meta Pixel, and site analytics. Depending on the tool and your browser settings, these services may use cookies or other identifiers and receive information about pages viewed, interactions, referrals, and your device or browser. They help us understand site usage and measure advertising. Browser privacy settings can limit some tracking. The chat agreement concerns chat recording and processing; it is not a separate choice about all website analytics or advertising.
Messaging (SMS discontinued)
Our SMS assistant was discontinued on August 26, 2026, and the number that served that program is no longer in service. Twilio processed messages while the SMS program was active. Historical messages and contact records may be retained for business records or legal requirements.
SMS consent is not shared with third parties or affiliates for marketing purposes.
Data retention
We retain conversations, contact details, consent records, and related information as needed to respond to inquiries, operate the service, maintain business records, and meet legal requirements. Relevant records may need to be preserved for a dispute or legal proceeding. Retention periods depend on the purpose of the record and applicable legal requirements.
Data security
We use encrypted website connections and access controls to help protect information. No method of transmission or storage is completely secure. Avoid including sensitive information in a chat or email unless it is necessary for your request.
Your choices and requests
You can close the chat, decline to start it, or contact us by email instead. Optional contact details are not required simply to ask the assistant a question. You may ask us to stop contacting you or request access, correction, or deletion of your personal information by emailing david@virtualworks.ai. We review requests subject to applicable law, identity verification, and any obligation to retain or preserve records.
Children's privacy
Our services are not directed to individuals under the age of 13. We do not knowingly collect personal information from children.
Changes to this policy
We post updates with their effective date. If the disclosed chat practices materially change, we ask for a new agreement before you continue using the chat. Updates apply prospectively and do not create consent for earlier conversations.
